HOW TO WRITE A COMPLAINING LETTER EFFECTIVELY

In order to create a successful letter of complaint, you should master the idea structure of this type which explains what the complaint is about, the expectation about the subject, what the problem is, some details of efforts by the other party to put the right problem and why they did not work, what the impacts of the fault or error are and what the writer wants to compensate.

Creating an effective letter of complaint, you should:

  • Address the letter to a real person: a person or a group of people should have the responsibility to help you to resolve the problem.
  • Be honest and straightforward: the point should be written in a clear language. Sufficient details should be included to back up your claim and show that you have thoroughly researched the subject.
  • Keep a firm but respectful tone, and avoid aggressive, accusing language: This will make your complaining letter professional. If you want to maintain a future relationship with the people, you should be especially tactful and don’t let your complaint damage any goodwill.
  • Give your contact information: Your name, address, phone number, and email address should be included so that the person who you are writing to can keep in touch with you to discuss any questions or other concerns.
  • Tell them what you want: Tell the person what you expect or desire in order that he/she can be able to resolve the problem quickly.
  • Don’t threaten
  • Keep copies and records of the receipts and other necessary documents. You can send them to the person and retain all originals.
  • Be persistent: You can be expected to write more than one letter to solve the problem if the first one doesn’t bring any action.
